Art From the Heart Art Exhibition Coordinator

Contract Period: December 1st, 2018 to March 1st, 2019

Job Summary

Organize all aspects of the 18th Show and Sale scheduled on February 8th & 9th, 2019. Coordinate the efficient distribution of tasks and communicate with participating artists and volunteers in liaison with various committee members. Encourage participation of underrepresented artists and community groups.

Duties

Under the direction and support of the Art from the Heart (AFTH) board:

Show Coordination

Organizes, coordinates and implements (including tracking and reporting, as required) the following Show and Sale activities:

  • Call for Artists
    • Duties include, but are not limited to: collecting registration forms, tracking registration, obtaining photo and artist biographical information, producing name tags for exhibition, and related data verification
  • Show and Sale Advertising
    • Duties include, but are not limited to: coordinating and overseeing printing of promotional materials and distribution
  • Ad sales for the AFTH Show and Sale program
    • Duties include, but are not limited to: identifying and securing donations
  • Art in-take days
    • Duties include, but are not limited to: communicating event, tracking artwork and artists
  • Show and Sale
    • Duties include, but are not limited to: organizing, coordinating and implementing artwork set-up and tear-down, volunteer participation, event music, event food, ensuring all images safely hung, proper identification of artist and piece (medium, cost, description)

Communication Activities

  • Regular communication with artists
    • Duties include, but are not limited to: timely response to inquiries, encouraging artists to apply, providing information and support as needed during the application and show process
  • Preparing reports for funders for AFTH board verification and approval
  • Reporting progress to AFTH board
  • Attending AFTH board meetings
  • Communication and promotion of event with local media
  • Connecting with community art organizations as a representative of AFTH to encourage artist participation and show promotion
  • Connecting with larger public to promote the Show and Sale and gain ad sales contributions.
  • Connecting with artist community through social media (Facebook and Instagram)

Administration

  • Tracking all income and expenses to be reported to the AFTH board
  • Working within set budget as defined by AFTH board
  • Producing documentation of the event and final report to Committee
  • Maintaining a database of artists and relevant documents and statistical data as required
  • Support ongoing fundraising activities
  • Evaluation form distribution, and collection plus data synthesis

Qualifications:

Essential Qualifications

  • Can work independently and with people
  • Computer skills: word processing, Excel
  • Experience and/or understanding community art and community development
  • Experience managing and lead a team
  • Ability to meet deadlines
  • Strong communication organizational and communication skills
  • Must have reliable access to a personal computer
  • Experience with social media (Facebook, Instagram)

Asset Qualifications

  • Experience working with diverse populations
  • Experience with or demonstrated interest in community art
  • Experience in managing budget
  • Experience in graphic design/poster design
  • Experience organizing an art show or curating an art event
  • Driver's license an asset
  • Experience with MailChimp
  • Experience facilitating workshops
