THE ROLE
As a School Office Assistant, you provide front-line, administrative, database, and project support for RWB School programming. In this position, you deliver exceptional customer service to parents and students by providing information related to School programs, classes, and activities.
KEY DUTIES OF ROLE
• Provide excellent customer service and establish positive, professional relationships with students, parents, and other stakeholders.
• Manage incoming calls, emails, and in-person inquiries; provide information and timely support to current and prospective students and parents.
• Deliver timely outgoing communications such as class changes and cancellations.
• Process transactions in the database.
• Assist with the maintenance, accuracy, and security of organized student records and filing systems.
• Provide administrative and project support as required.
• Forward concerns raised by students and parents to required stakeholders as appropriate.
• Support registration activities and student intake.
• Provide front-of-house and backstage support at performances and events as required.
• Assist and support School events such as auditions, recitals, registration, open houses, and orientations.
• Ensure all communications, strategies, and actions support, protect, and nurture the RWB brand.
WORK SETTING
A School Office Assistant works with standard office equipment and sits for long periods of time performing keyboarding activities. Success in this role requires ongoing communication with internal and external stakeholders, flexibility with shifting priorities, and timely decision making. Hours of work are primarily evenings and weekends.
WHAT YOU BRING
• Experience working in an office environment.
• Demonstrated knowledge of Microsoft Excel, Word, Outlook, and Teams.
• Excellent written and verbal communication skills.
• Keen attention to detail and sound problem-solving skills.
• Solid time management and multi-tasking skills.
• Working knowledge of Tessitura or a similar database system an asset.
• Ability to speak and write in other languages an asset.
• Experience and/or interest in the arts and cultural sector an asset.
